Terms and Conditions for Refundable Holding Fee

1. Purpose of the Holding FeeA refundable holding fee is taken to secure a booking for a specific appointment or treatment time at our dental practice. This ensures that the reserved slot is held exclusively for you and not offered to other patients.
2. Amount and PaymentThe holding fee amount is £50Payment must be made at the time of booking via [card /cash / online payment portal].The holding fee will be held securely and deducted from your treatment cost or fully refunded according to the terms below.
3. Refund ConditionsThe holding fee is fully refundable under the following circumstances:You attend your scheduled appointment as booked.You cancel or reschedule your appointment with at least [24] hours’ notice.The practice cancels or reschedules your appointment for any reason.Refunds will be processed using the same payment method within [5–10 business days] of the eligible event.
4. Forfeiture of Holding FeeThe holding fee will be non-refundable if: You fail to attend your scheduled appointment.You cancel or reschedule your appointment with less than [24} hours’ notice, except in verified medical emergencies.This policy helps cover the loss of clinical time that could have been offered to another patient.
5. ReschedulingYou may reschedule your appointment up to [24] hours before the scheduled time without losing your holding fee. Any reschedule requests made after this period may result in forfeiture of the fee.
6. Transfer of FeeThe holding fee is non-transferable to another person but may be applied to a rescheduled appointment within [30 ] days, if notice was given within the required period.
7. Practice RightsPall Mall Dental Clinic reserves the right to amend these Terms and Conditions at any time. Updated terms will be communicated and made available at the practice and on our website.
8. Confirmation and AcknowledgmentBy paying the holding fee, you acknowledge that you:Have read and understood these Terms and Conditions.Agree to the refund and forfeiture conditions stated above.Authorise Pall Mall Dental Clinic to retain or refund the fee according to these terms.
